Privacy Policy

River City Reminders, LLC ("River City Reminders," "we," "us") sends invoice and payment reminders by email and text message on behalf of small contractors ("our clients"). This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- From our clients (contractors): business name, contact name, phone number, email address, billing details, and the invoice information they ask us to follow up on.
- About our clients' customers: the information a contractor gives us, or that we pull from the contractor's accounting software (such as QuickBooks) with their permission, so we can send reminders, such as first name, mobile phone number, email address, invoice number, amount, due date, a short job description, and a payment link.
- When you contact us: anything you choose to send through our website, by email, or by phone.
- Message activity: basic delivery and reply information, such as whether a message was delivered and whether someone replied STOP or HELP.
How we use information
- To send invoice and payment reminders on behalf of the contractor who hired us.
- To honor opt-out (STOP) and help (HELP) requests.
- To report to our clients on which reminders went out and which invoices were paid.
- To run our business, including billing our clients and answering questions.
We do not use customer information to market our own services, and we never send collection-agency notices.
Text messaging and mobile information
We text a customer only after they agree to get reminder texts from the contractor. They get one confirmation text when they sign up, then up to five texts per invoice: a heads-up about 3 days before the due date, follow-ups at about 7, 14, and 30 days past due if the invoice is still open, and one thank-you text when payment is received. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers who help us deliver the messages.
How we share information
We do not sell or rent personal information. We share it only:
- With the contractor the information belongs to.
- With service providers who help us operate, such as our email, text messaging, phone, accounting software, and payment processing providers, only as needed to provide our service.
- When required by law, or to protect our rights or the safety of others.
How long we keep information
We keep customer and invoice information only while the contractor uses our service. Within 30 days after a contractor cancels, we delete or return their data, except records we must keep by law, such as the log of reminders sent and opt-outs. Opt-out records are kept so we keep honoring them.
Security
We use reasonable safeguards to protect information, including access limited to the people who need it. No system is perfectly secure, but we take protecting your information seriously.
Your choices
- Reply STOP to any text to stop receiving texts. Reply HELP for help.
- To stop emails, reply to the email or contact us below.
- To ask what information we have about you, or to request a correction or deletion, contact us below. If your information came from a contractor, we may refer you to them.
Children
Our service is for businesses and their adult customers. We do not knowingly collect information from children under 13.
Changes to this policy
If we update this policy, we will post the new version here with a new effective date.
